This Privacy Policy applies to the activities for which RemoteReps is a “data controller,” which means that RemoteReps decides why and how Personal Information is processed. This Privacy Policy also explains the collection, use, purpose, and sharing of Personally Identifiable Information related to RemoteReps' provision of services to RemoteReps Clients. When we process Personal Information on behalf of RemoteReps Clients, RemoteReps Clients determine “why” and “how” the Personal Information is processed. RemoteReps does not require you to register or provide Personal Information to visit our Site. By accessing our Site or using our Services, you agree to this Privacy Policy in addition to any other agreements we might have with you.
Definitions“RemoteReps Client” means any customer that has entered into an agreement with RemoteReps to use RemoteReps' Services.
“RemoteReps Talent” means any authorized member of the RemoteReps Talent Network who has agreed to the Talent Network Terms & Conditions.
“PII,” “Personally Identifiable Information,” and/or “Personal Information” means any information that may identify an individual, directly or indirectly or, if you are located in the European Economic Area (“EEA”) or United Kingdom (“UK”), any information relating to an identified or identifiable individual. Examples of PII include, but are not limited to, first and last name, home address, billing address or other physical address, email address, telephone number, etc. PII does not include information that is anonymized, and other information that is excluded from the scope of applicable privacy and data protection laws.

Personal Information You Voluntarily Provide to RemoteRepsRegistration and Profile InformationYou may choose to sign up for an account on our Services, including to join the RemoteReps Talent Network. Upon your signup to the RemoteReps Talent Network, we may ask you for your name, email address, phone number, country location, English proficiency, primary skill, years of working experience, years of experience with your primary skill, information included in your resume, and the name of a person who referred you.
CommunicationsIf you contact us directly, we may receive additional Personal Information about you. For example, if you contact us for technical support, we may receive your name, email address, phone number, the contents of your message, attachments that you may send to us, and other Personal Information you choose to provide. If you subscribe to our newsletter, we will collect Personal Information such as your email address. When we send you emails, we may track whether you open them to learn how to deliver a better experience and improve our Services.
Hire Talent Through RemoteRepsYou may choose to use our Services to access pre-vetted talent if you are interested in hiring through RemoteReps. Upon submitting your request form, we may ask you for your name, company name, job title, work email, company URL, phone number, employee range, your current role, and country.
Additional ServicesIf you make use of our Site to register for certain services, including to download e-books, attend virtual events or webinars, or submit a testimony to be published on our Services, we may ask you to provide your name, company name, job title, (work) email address, phone number, employee range, primary skill, years of experience in a framework, and country.
RemoteReps Learning CommunityIf you choose to submit your interest in joining the RemoteReps Learning Community, we may ask you for your name, email address, country, seniority level, most proficient framework, professional years of experience in the framework, top 5 tech skills, top 5 tech tools, and resume.
Become a PartnerIf you are interested in becoming our Partner, we may ask you to submit your name, company name, work email address, phone number, and your current role.
CareersIf you decide that you wish to apply for a job with RemoteReps, we may ask you to submit your name, email address, phone number, location (city), your resume, cover letter, the number of years of experience relevant for the job profile, desired compensation range, and the information on how you learned about the job offer. We will collect the information you choose to provide on your resume and in your cover letter, such as your education and employment experience.
If you do not provide your Personal Information when requested, you may not be able to use our Services if that Personal Information is necessary to provide our Services or if we are legally required to collect it.
B. Personal Information We Collect When You Use Our Services
- Location Information – We may approximate your geographic region and Internet Service Provider based on your internet protocol (IP) address.
- Device Information – We receive information about the device and software you use to access our Services, including IP address, web browser type, and operating system version.

Talent Assessment – RemoteReps runs a rigorous Talent assessment and vetting process. During this process, you may be asked to permit RemoteReps to verify information about you via image and/or video, and this verification will be recorded for internal review purposes only. You reserve the right to refuse to be recorded and/or have your image captured, but refusal may result in discontinuation of the vetting process.
Talent Profiles – RemoteReps runs a rigorous Talent assessment and vetting process. During this process, you may be asked to permit RemoteReps to verify information about you via image and/or video, and this verification will be recorded for internal review purposes only. Data Processing Agreement (DPA)
This Data Processing Agreement (“DPA”) forms part of the RemoteReps Agreement (including any associated Order Form, Statement of Work, or Master Service Agreement entered into therewith) by and between Client and RemoteReps Inc. - “Controller,” “Data Subject,” “Personal Data,” “Personal Data Breach,” “Processing,” “Processor,” and “Supervisory Authority” – have the meanings given to them in the GDPR.
- “Data Protection Laws” – means the General Data Protection Regulation (EU) 2016/679 (“GDPR”), the UK GDPR, the Data Protection Act 2018, and other applicable data protection laws in the European Economic Area (EEA), the United Kingdom (UK), and Switzerland.
- “Data Subject Rights” – means all rights granted to Data Subjects by Data Protection Laws, including rights to access, rectification, erasure, restriction, portability, objection, consent withdrawal, and protection from automated decision-making.
- “International Data Transfer” – means any transfer of Client Personal Data from the EEA, UK, or Switzerland to another country, including onward transfers within that country.
- “Client Personal Data” – means any Personal Data subject to Data Protection Laws, for which Client is the Controller, and which is processed by RemoteReps to provide Services to Client.
- “Personnel” – means any natural person acting under the authority of RemoteReps.
- “Sensitive Data” – means any special category of Personal Data subject to additional restrictions under Data Protection Laws.
- “Standard Contractual Clauses (SCCs)” – means the clauses annexed to EU Commission Implementing Decision 2021/914, as amended or replaced.
- “Sub-processor” – means a Processor engaged by RemoteReps to process Client Personal Data.
- “Third-Party Controller” – means a Controller for whom Client is acting as a Processor.
- “UK Addendum” – means the UK International Data Transfer Addendum, issued by the UK Information Commissioner’s Office (ICO) under the Data Protection Act 2018.
SCOPE AND APPLICABILITY
- This DPA applies to the Processing of Client Personal Data by RemoteReps for the provision of Services.
- Client is the Controller and appoints RemoteReps as a Processor to process Client Personal Data on its behalf.
- Where Client is a Processor acting for a Third-Party Controller, Clientauthorizes RemoteReps a Sub-processor to process the relevant Client Personal Data .
DURATION OF THIS DPA
This DPA remains in effect as long as RemoteReps processes Client Personal Data on behalf of Client.
PROCESSING OF CLIENT PERSONAL DATA
Client’s Responsibilities
- Client must comply with applicable Data Protection Laws when collecting and processing Client Personal Data.
- Client must ensure that it has all necessary rights, consents, and authorizations for RemoteReps to process the data.
RemoteReps’ Responsibilities
- RemoteReps will process Client Personal Data only as instructed by Client, unless required by law.
- If RemoteReps believes Client’s instructions violate Data Protection Laws, it will notify Client.
- RemoteReps may charge a reasonable fee for processing additional Client instructions.
SUB-PROCESSING
- Client authorizes RemoteReps to engage Sub-processors to assist in data processing.
- RemoteReps will enter into written agreements with all Sub-processors, ensuring compliance with Data Protection Laws.
- Client will be notified before a new Sub-processor is engaged, and may object within 30 days if it has reasonable concerns about compliance.
SECURITY MEASURES
RemoteReps’ Responsibilities
- RemoteReps will implement technical and organizational security measures to protect Client Personal Data against unauthorized access, disclosure, or loss.
- Security measures include:
- Encryption of data in transit and at rest.
- Access control mechanisms.
- Regular security audits and vulnerability assessments.
- Incident response and breach notification protocols.
Client’s Responsibilities
- Client is responsible for ensuring that it configures and uses the Services in compliance with Data Protection Laws.
PERSONAL DATA BREACH NOTIFICATION
- RemoteReps will notify Client without undue delay after becoming aware of a Personal Data Breach involving Client Personal Data.
- RemoteReps will provide relevant details as available, including:
- The nature of the breach.
- The categories of affected Personal Data.
- The measures taken to mitigate the breach.
DELETION OR RETURN OF DATA
- Upon termination of the Agreement, RemoteReps will delete or return all Client Personal Data within 30 days, unless required by law to retain it.
- Client must request a return of data within 30 days after termination.
INTERNATIONAL DATA TRANSFERS
- RemoteReps may transfer and process Client Personal Data in other countries where it operates.
- Client authorizes RemoteReps to transfer data using:
- Countries with an EU adequacy decision.
- Standard Contractual Clauses (SCCs) for non-adequate countries.
- UK Addendum for UK data transfers.
- If any transfer mechanism becomes invalid, Client and RemoteReps will work together to find an alternative solution.
NOTIFICATIONS
- Client will send all notices under this DPA to: [email protected].
- RemoteReps will send all notifications to Client’s designated contact in the Agreement.
LIMITATIONS OF LIABILITY
- RemoteReps and Client will share liability for compliance failures in proportion to their responsibilities.
- Liability caps under this DPA are aligned with the limitations in the Agreement.
MISCELLANEOUS
- RemoteReps may update this DPA as required by law or regulatory guidance.
- If any provision is found invalid, the remainder of this DPA remains in effect.
- In case of a conflict, the terms of this DPA shall prevail over those in the Agreement.
California Data Processing Addendum
This California Data Processing Addendum (the “Addendum”) forms an addendum to part of the RemoteReps Agreement (including any associated Order Form, Statement of Work, or Master Service Agreement entered into therewith, the “Agreement”), executed between the entity that executed the Agreement (“Client”) and RemoteReps Inc. (“RemoteReps”) (each a “Party”; collectively the “Parties”), and is in furtherance of obligations under the California Consumer Privacy Act of 2018 (California Civil Code §§ 1798.100 to 1798.199) and its implementing regulations, as amended or superseded from time to time (“CCPA”).
Definitions
Capitalized terms used in this Addendum are defined in this section or the section of the Agreement they were first used. All capitalized terms not defined in this Addendum shall have the meanings set forth in the Agreement.
For the purposes of this Addendum—
- “Business,” “Business Purpose,” “Collect,” “Consumer,” “Deidentified,” “Sale,” “Sell,” “Services,” “Service Provider,” and “Personal Information” have the meanings given to them in the CCPA.
- “Client Personal Information” means Personal Information provided by the Client to, or which is Collected on behalf of Client by, RemoteReps to provide Services to Client pursuant to the Agreement or to perform a Business Purpose.
Roles and Scope
- This Addendum applies only to the Collection, retention, use, disclosure, and Sale of Client Personal Information.
- The Parties acknowledge and agree that Client is a Business and appoints RemoteReps as a Service Provider to process Client Personal Information on behalf of Client.
- The Parties adopt this Addendum for as long as RemoteReps maintains Client Personal Information on behalf of Client.
Restrictions on Processing
Except as otherwise permitted by the CCPA, RemoteReps is prohibited from:
- Retaining, using, or disclosing Client Personal Information for any purpose other than for the specific purpose of performing the Services specified in the Agreement for Client, as set out in this Addendum.
- Further Collecting, Selling, or using Client Personal Information except as necessary to perform the Services.
Consumer Rights
RemoteReps shall provide commercially reasonable assistance to Client for the fulfillment of Client’s obligations to respond to CCPA-related Consumer rights requests regarding Client Personal Information.
Indemnification
To the extent that the Agreement requires RemoteReps to Collect, use, retain, disclose, or reidentify any Client Personal Information as directed by Client, Client shall be solely liable and shall hold harmless and indemnify RemoteReps for any damages or reasonable costs, including attorneys’ fees and interest, arising from or related to the Collection, use, retention, disclosure, or reidentification of such Client Personal Information by RemoteReps as directed by Client.
Sale of Information
The Parties acknowledge and agree that the exchange of Personal Information between the Parties does not form part of any monetary or other valuable consideration exchanged between the Parties with respect to the Agreement or this Addendum.
Restrictions on Processing
Except as otherwise permitted by the CCPA, RemoteReps is prohibited from:
- Retaining, using, or disclosing Client Personal Information for any purpose other than for the specific purpose of performing the Services specified in the Agreement for Client, as set out in this Addendum.
- Further Collecting, Selling, or using Client Personal Information except as necessary to perform the Services.
Consumer Rights
RemoteReps shall provide commercially reasonable assistance to Client for the fulfillment of Client’s obligations to respond to CCPA-related Consumer rights requests regarding Client Personal Information.
Indemnification
To the extent that the Agreement requires RemoteReps to Collect, use, retain, disclose, or reidentify any Client Personal Information as directed by Client, Client shall be solely liable and shall hold harmless and indemnify RemoteReps for any damages or reasonable costs, including attorneys’ fees and interest, arising from or related to the Collection, use, retention, disclosure, or reidentification of such Client Personal Information by RemoteReps as directed by Client.
Sale of Information
The Parties acknowledge and agree that the exchange of Personal Information between the Parties does not form part of any monetary or other valuable consideration exchanged between the Parties with respect to the Agreement or this Addendum.
Miscellaneous
- RemoteReps may modify the terms of this Addendum as provided in the Agreement. RemoteReps will notify Client of any such changes and the effectiveness of such changes in accordance with this Addendum or the Agreement.
- In case of any conflicts between the Agreement and this Addendum, the terms of this Addendum shall prevail.
- If any provision of this Addendum is found by any court or administrative body of competent jurisdiction to be invalid or unenforceable, then the invalidity or unenforceability of such provision does not affect any other provision of this Addendum, and all provisions not affected will remain in full force and effect.
